
Digitizing Physical Access and Appointment Flow for a Medical Practice in Belgium

Arckipel designed and delivered a complete digitization strategy tailored to the specific needs of a high-traffic, single-physician medical clinic. This included both the custom development and physical installation of a secure access control system — as well as the software logic behind it.
Analysis
Prior to implementation, the clinic relied entirely on manual appointment workflows. Patients had to ring the doorbell and wait for either the doctor or the assistant — or sometimes even another patient — to physically open the door. Appointment reminders were handled manually. Missed appointments and unstructured waiting room flows created friction for both patients and staff. There was no clear access protocol, no automation, and no buffer for operational interruptions.
In addition, managing entrance access in a secure but user-friendly way posed architectural and logistical challenges: access had to be granted only at specific times, based on scheduled appointments, without the need for ongoing staff interaction.

Solution


Hardware Layer
A custom-built digital code access panel was fabricated and installed beside the clinic entrance. The panel features a weatherproof design, tactile keypad, encrypted communication module, and a programmable electronic lock interface. Arckipel's team oversaw the full process: casing design, internal wiring to match existing infrastructure, and on-site deployment with minimal downtime.
Software Layer
A fully automated access control platform was built around appointment logic. When a patient books an appointment — either online or by phone — the system generates a single-use numeric access code, valid only during the designated window. 24 hours before the appointment, this access code is automatically sent via SMS, email, or push notification, depending on the user's preference. The code expires upon use or after the time slot lapses, ensuring no open-ended access. This eliminates the need for receptionists or staff to physically manage the door, streamlining the entire patient intake experience.
The system includes an AI-powered punctuality forecast, allowing the doctor to indicate expected delays or real-time availability. If activated, patients receive dynamic updates to avoid early arrival or extended waiting. In emergencies, such as unexpected doctor absences, the clinic can immediately disable entry codes and issue broadcast notifications via the platform.

The new access platform is now live and fully operational. Since launch, the clinic has eliminated nearly all administrative interaction related to physical access. Patients arrive on time, wait less, and receive immediate confirmation of their entry code — regardless of their device or technical familiarity.
